How and where to submit your child's passport application - Step by step procedure

Passports for Children

Danish passports for children below the age of 12 are not biometric and therefore Honorary Consulates in South Africa and in the region may receive passport applications from children below the age of 12.

Passports for children between the age of 12 - 18 are biometric. This means that biometric data such as fingerprints must be collected with the adequate equipment at an embassy. Therefore, persons of 12 years and above cannot apply for a Danish passport at an Honorary Consulate in South Africa or in the region. Only an embassy or Borgerservice in Denmark can process these passport applications.

Applying at an Honorary Consulate

If you wish to apply for a passport for your child below the age of 12 at an Honorary Consulate, please contact the consulate in question to arrange an appointment. When applying at an Honorary Consulate please bring one recent passport photo. See the requirements for photos > here

Parental Consent
Both parents must appear in person for the appointment. If one parent has sole custody of the child, documentation to that effect MUST be produced. In case one parent is unable to appear in person at the consulate, section C of the form, "declaration of consent" must be signed before a Danish consulate, Danish police, Danish municipality or another Danish authority and emailed to the consulate prior to the appointment. 

Digital Consent
Alternatively, the parent/guardian not able to appear in person may give his/her consent digitally provided he/she has a CPR number and NemID (the child does not need to have a full CPR number).

Once the consent form has been filled in and signed with the parent's NemID, a receipt will be generated and sent to his/her e-boks. Please print the receipt and submit it with the passport application.

Required Documents
For a first time passport or renewal of a passport that expired more than 2 years ago, the following documents must be submitted together with the application at the consulate:

  • Copy of your child's current passport
  • Copy of your child's Danish birth certificate. If your child is born in South Africa, the birth certificate must be unabridged and apostilled/legalised by DIRCO or a high court in South Africa.
  • Copy of both parents' passports and residence IDs
  • If only one parent is Danish, copy of that parent's proof of Danish citizenship*
  • Parents marriage certificate. If you are born before 1 July 2014 and your mother is not a Danish national then please provide your parents unabridged marriage certificate. If it is a South African marriage certificate, then it must be unabridged and apostilled/legalised by DIRCO or a high court in South Africa.
  • One application form per child, completed and signed by both parents.

*) Required if the Danish parent is born outside of Denmark or has dual citizenship acquired before September 2015

NB! Please bring all documents in orginal for the appointment at the consulate. For renewals, less documentation is required, though, the consulate may ask you to provide all.

 

Applying at the Embassy

If you wish to come to the embassy to apply for a passport for your child, please note that before coming to the embassy, you need to make an appointment. This can be done by e-mailing us at [email protected]

 

Appointment

In order for us to make sure that we are able to issue a passport, we may ask to see some/all of the following documents prior to your appointment. For a first time application or a renewal of  a passport that expired more than 2 years ago all is required.

  • Copy of the child's current passport
  • Copy of your child's Danish birth certificate. If your child is born in South Africa, the birth certificate must be unabridged and apostilled/legalised by DIRCO
  • Copy of both parents' passports and residence IDs
  • If only one parent is Danish, copy of the parent's proof of Danish citizenship
  • Parents marriage certificate. If you are born before 1 July 2014 and your mother is not a Danish national then please provide your parents unabridged marriage certificate. If it is a South African marriage certificate, then it must be unabridged and apostilled/legalised by DIRCO or a high court in South Africa.
  • One application formper child, completed and signed by both parents.

The above documents can be send in hard copy via courier or handed in in person.

Please note that if you chose to send the documents via email to [email protected] it will be via an unencrypted connection.

On the day of the appointment

Parental Consent
Both parents must appear in person for the appointment. If one parent has sole custody of the child, documentation to that effect MUST be produced. In case one parent is unable to appear in person at the embassy, section C of the form, "declaration of consent" must be signed before a Danish consulate, Danish police, Danish municipality or another Danish authority and emailed to the embassy in Pretoria prior to the appointment. 

Digital Consent
Alternatively, the parent/guardian not able to appear in person may give his/her consent digitally provided he/she has a CPR number and NemID (the child does not need to have a full CPR number).

Once the consent form has been filled in and signed with the parent's NemID, a receipt will be generated and sent to his/her e-boks. Please print the receipt and submit it with the passport application.

Documents

The Embassy will let you know what documents to bring for the appointment. However, please note that we require to see them in original. They may include some/all of the below :

  1. Application form (mandatory) - one per child, completed and signed by both parents. Signatures must be done one more time at the embassy. An application form can be downloaded here.
  2. Your child's current passport (mandatory). The Consular Office does not need to keep the passport and your child may use it for travel until the new passport arrives
  3. Both parents' current passports and South African IDs
  4. Your child's Danish birth certificate. If your child is born in South Africa, the birth certificate must be unabridged and apostilled/legalised by DIRCO/High Court
  5. Certificate of Danish nationality. If only one parent is Danish, copy of that parent's proof of Danish citizenship* 
  6. Parents marriage certificate. If you are born before 1 July 2014 and your mother is not a Danish national then please provide your parents unabridged marriage certificate. If it is a South African marriage certificate, then it must be unabridged and apostilled/legalised by DIRCO or a high court in South Africa.
  7. A recent passport photo in colour of your child/baby. See the requirements > here

Fee.  Proof of Bank transfer (EFT) or card payment only. No cash accepted. Embassy banking details can be found here.

Signature/fingerprints. Children of 5 years and above will be asked to give their signature. For children of 12 years and above, fingerprints will be collected.

 

Collection of Passport

Processing time for a passports is approximately 2 weeks - and 3 weeks during peak periods.

If you cannot pick-up your child's new passport at the embassy, you may arrange for a courier to collect it for you. You will need to issue the courier company with a written consent letter stating that you give them permission to collect the passport on your behalf.

However, please note that before we can hand out the new passport, we need to cancel your child's old passport in our system as well as punch holes in the data/biometric page. This means that you will have to send the old passport with the courier who is collecting the new. Once cancelled, we will send the old passport back to you.
